Delete Dictation

1. Select the dictation – press FF or REW on the front of the recorder until the current file number

displays the dictation you want to delete.

2. Delete the dictation – press ERASE.

o When the file number and FILE ERASE ? flash, press ERASE again.

o The display changes briefly to FILE ERASE ! as the file is deleted. Dictations are

automatically renumbered.

3. Erase all dictation –

o Select any file.

o Press and hold ERASE for 3 seconds for longer. ALL ERASE ? flashes on the display for

approximately 8 seconds.

o While ALL ERASE ? is flashing, press ERASE a second time.

o ERASE DONE ! is displayed when files are erased.

o Do not interrupt the erase process or data will be corrupted. The erase process may take as

long as 10 seconds.

Upload Dictation

1. Ensure the slide switch is in the STOP position.

2. With the recorder powered on, place the recorder into the cradle that is attached to your PC via

the USB cable

3. The Dictaphone DS-3000/DS-4000 Upload Utility should launch automatically and the file upload

begins.

4. Leave the recorder in the cradle until the upload is complete. The screen displays BUSY until the

upload is complete. When REMOTE appears on the recorder's display, it is safe to disconnect

from the PC.

5. When upload is complete, the Dictaphone DS-4000/DS-4000 Upload Utility provides a list of the

files that were uploaded.

o Check the icons on the left side of the file list. A green icon indicates successful file transfer; a

red icon indicates transfer failed. (Entries are purged after 30 days.)

o Sort the list of entries by clicking the headers. Example: Click the Date/Time header to

reverse sort order)

Note: If transfer fails, try unplugging the USB cable from the PC and then reseat it firmly. If

transfer still fails, see your system administrator.
